Job Description

I.          TITLE:                       ACCOUNTING CLERK

            CODE:                       PARA 706

 

II.        SUMMARY:

An employee in this classification, under the supervision of the Accounting Manager or Director of Medicaid/Program Supports performs diversified duties involving moderately complex accounting functions and/or clerical functions, maintenance of records and accounts and computer entries.

III.       DUTIES:

50%    Process invoices and check requests.

            Audits and monitors a variety of accounting reports to assure accuracy and validity.

            Prepares statistical and accounting reports, records and other accounting data.

            Collects past due bills.

            Adheres to laws governing retention and dissemination of information involving fiscal material.

            Codes, classifies, indexes material for maintenance and retention.

            Receives, opens, and sorts mail daily.

            Balances account payable month-end listing to the general ledger.

            Researches and responds to inquiries from vendors and internal customers.

            Ensures timely payment of vendor and contract services.

            Processes contracts to the County Auditor.

            Monitors fiscal contract compliance.

            Complies with all applicable rules, regulations, laws and Board policies and procedures.

30%    Provides entry of information such as payables, receivables, payroll and billings into financial and manufacturing computer system.

             Updates and maintains data base information and computer records.

    Gathers, compiles and maintains current and accurate information involving a variety of accounting, payroll and other fiscal statistics.

             Performs calculations, analysis and cost computations regarding data for ledgers, journals, cash books and reports.

 15%    Balance, print and report 1099s at year-end.

             Performs related clerical duties including typing a variety of reports and correspondence.

             Operates a variety of office and data system equipment.

             Maintains an accurate and current filing system and workstation.

             May be required to orient individuals assigned to the department.

  5%    Performs other related duties as required.

 IV.       EQUIPMENT OPERATED:

             Personal computer, applications software and basic office equipment.

V.        WORKING CONDITIONS:

            Position may involve exposure to individuals with medical and behavioral risks.

VI.       KNOWLEDGE, ABILITIES AND SKILLS:

             Knowledge of fiscal and business office practices and procedures.

             Skill in clerical and statistical functions.

             Skill in typing and operation of 10-key, computer, data system equipment and other office machinery.

             Ability to gather, collate and classify fiscal information.

             Ability to compose routine correspondence.

             Effective organizational and responsive communication skills.

             Problem solving ability.

             Ability to establish and maintain harmonious relationships.

             Computer programs related to accounting (spreadsheets).

VII.     MINIMUM QUALIFICATIONS, EDUCATION AND EXPERIENCES:

            A.        Education:   

    High School diploma or GED required.

    Associate degree in Accounting, Business Management or related field preferred. 

             B.        Experience:

                        One (1) year of accounting related experience. 

                        Computer experience preferred.

             C.        Credentials:

                        1.         Certification:

                        3.         Licensure:

                                    Valid driver license.

            D.        Ancillary Training:

                        N/A

            E.        Other:

   Requires passing a 10-key skills test with a minimum of 5,000 keystrokes per hour with a 95% accuracy rate.  Requires passing intermediate Microsoft    Excel, basic Word, and basic Electronic Mail proficiency tests.

           May require own transportation.

                                     Must be qualified to perform all duties assigned to this position.
