Job Description

SUMMARY:

Responsible for managing the daily operations of the Board office to ensure that office functions are carried out in an efficient, timely and cost effective manner.  The Executive Assistant will have the primary responsibility to support the Executive Director, Administrative staff, the Board and related committees. The individual must have the ability to manage multiple tasks and set priorities. The position will report to the Executive Director.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Oversees the day to day office functions including but not limited to purchasing, scheduling, maintaining and supporting an electronic and/or paper document filing/storage system for all Board activities, and managing internal and external communications.

     

  2. Provides clerical and administrative support for the Executive Director as well as other Directors as needed.

     

  3. Completes tasks as assigned by the Executive Director.

     

  4. Maintains the Board’s Policy and Procedure Manual and annually schedules and provides support for the policy review process.

     

  5. Responsible for overseeing the preparation, dissemination of information, and scheduling of Board and Board committee meetings.Provides primary support for Board and Committee meetings.

     

  6. Oversight of the Board’s Central File and Client Record Retention systems, ensuring the management, disposition and release of all client records possessed by the Board is in compliance with state and federal regulations.

     

  7. Provides reception and clerical duties as necessary.

     

  8. Other duties as assigned.

 

 

EDUCATION/EXPERIENCE:

 Bachelor’s degree in business, office management or related field, at least two years’ experience providing administrative support services, Excellent written and verbal skills along with significant experience using Microsoft Office software and familiarity with parliamentary procedures required. Associate’s degree in related field with at least three years’ experience providing similar work may be substituted for degree requirement.
